Association Software Development FAQs

Why do association software implementations fail?

They usually fail after launch, not during development. The consultant configures the system and leaves, staff revert to the spreadsheets they trust, and dirty member data gets migrated as-is so the new platform inherits the old problems. The software is typically the least broken part. That is why we treat data cleanup and staff adoption as the core of the project rather than the cleanup at the end, and why we stay through implementation instead of handing off at launch.

How many systems should an association run?

Most mid-sized associations run 10 to 50 systems that touch the member record. A consolidated stack typically runs 1 to 5. The more useful question is not the count, which most executives underestimate by about half, but what a member record touches and where a human moves data by hand. The right number for your organization comes out of that inventory, and the sequence of consolidation matters more than the target.

Should we replace our AMS or fix it?

Diagnose before deciding. If the pain traces to an unfinished implementation, dirty data, or missing integrations between the AMS and the systems around it, fixing costs a fraction of replacing and carries far less risk. If the platform itself is the constraint, replace it, but only after the data is clean and the workflows are mapped. Replacing an AMS to escape problems that live in the data means paying to keep them.

How do we clean up member data before an AMS migration?

Inventory every system holding member data, decide which system is the source of truth for each field, then deduplicate, standardize, and validate before anything moves. Run it as its own workstream with its own acceptance criteria. Folding cleanup into the migration project is how migrations stall, because the migration deadline always wins and the garbage gets carried across on schedule.

Wouldn't custom software just be reinventing the wheel?

For the AMS core, usually yes, and we say so. We do not recommend rebuilding what mature association platforms already do well. Where custom earns its keep is the gaps between systems: the integration nobody sells, the workflow no AMS handles without workarounds, the small internal tool that replaces a spreadsheet ritual. We build those as focused, maintainable pieces, including Knack applications, around a solid platform core, so you are not signing up for a homegrown AMS or a permanent dependency on us.

Can we do this without pausing operations?

Yes, and you should insist on it. Renewals, events, and certifications do not stop for a migration, so we phase the work: systems run in parallel during transition, cutover happens per workflow rather than in one weekend, and every phase has a rollback. An association should never have to choose between fixing its systems and running its programs.

We already had a technology assessment done. How is this different?

An assessment is a snapshot; consolidation is an ongoing process, and most assessments end as a report and a recommendation to hire. Ours ends as a sequenced plan we then help you execute, with the fix-versus-replace decision made on evidence and the first workflow shipped rather than described. If the assessment you have is solid, we build from it instead of redoing it.
